for sending mail, some mail clients (eg pine) support the concept of
'roles', so as to be easily able to send mails with, eg, different
'From' fields and the like.

These 'roles' can be configured to come in to play automatically (eg
"when replying to mail that was sent to helpdesk at domain foo.bar, use the
'helpdesk' role).

for the case of reading someone elses mail folders, use IMAP and
options are:

- give the relevant people the username and password

or

- if the IMAP server supports ACLs (eg cyrus imap) set acls to allow
the desired access to folders.
